Free Cancellation Letter Template That Often Triggers Retention Offers

Copy, paste, send. The polite cancellation that gets companies to offer you a discount instead of letting you go.

After 25 years inside the companies designing the systems that make cancelling impossible, I wrote these letters so you do not have to fight for your money back.

When to use it

Use this template when you want to cancel a subscription but would be open to staying if the company makes the service more affordable. It works particularly well with:

  • Streaming platforms
  • Software subscriptions
  • Online memberships
  • Digital tools
  • Subscription boxes
  • Premium apps

How to use it

  1. 1Replace the bracketed text with your details (service name, your name).
  2. 2Send the message through the company's support email, live chat, or contact form.
  3. 3Be polite and appreciative throughout — this is the core of the strategy.
  4. 4Mention financial pressure naturally, without exaggeration.
  5. 5Do not ask directly for discounts or offers. The goal is to let the company propose them.

Subject: Request to cancel my subscription

Hello,

I hope you're doing well.

I'm writing because I would like to request the cancellation of my subscription to [service name].

Before anything else, I want to say that I've genuinely enjoyed using the service. My experience with [service name] has been very positive and I truly appreciate the work your team puts into maintaining the platform.

I have also recommended [service name] to several friends during the time I've been using it, because I genuinely believe it is a great service.

Unfortunately, I'm currently reviewing my monthly expenses quite carefully. This isn't a great financial moment for me and I need to reduce some recurring costs for the time being.

Because of that, I've decided that the best option for now is to cancel my subscription.

I hope you understand that this decision is purely due to my current financial situation. I have always been a happy customer and truly enjoyed the service, and I would absolutely consider subscribing again in the future once things improve financially.

Please let me know once the cancellation has been completed.

Thank you again for the great service and for your time.

Kind regards,

[Your name]

Follow-up if they do not offer an alternative

Hello,

Thank you very much for your response and for taking the time to review my request.

I completely understand the situation. As I mentioned earlier, I've really enjoyed using [service name] and have recommended it to several friends over time.

At the moment I just need to reduce some expenses until things improve financially, which is why I decided to cancel the subscription for now.

Thank you again for your help, and I hope to be able to use the service again in the future.

Kind regards,

[Your name]

Why this letter works

This template is designed to cancel a subscription while naturally increasing the chances that the company offers a discount, free months, or another retention solution.

The key principle is not asking for discounts directly. When customers explicitly ask for discounts or retention offers, support agents often follow strict policies. However, when a polite customer explains financial pressure while expressing appreciation for the service, support teams frequently look for ways to help keep the customer.

Support teams are trained to retain good customers whenever possible. Many companies will try to offer alternatives on their own — temporary discounts, free months, account credits, subscription pauses, cheaper plans. The important strategy is not asking for these directly. Let the company propose the solution.
